Microsoft 365

How much does it cost to move business email to Microsoft 365?

For a ten person office it is usually one day’s work, which is £665 plus VAT, plus the cost of transferring the data. Bigger moves take longer. We look at your mailboxes before we quote, check every mailbox at both ends as it moves, and send you a report at each checkpoint, so you can see that nothing has been left behind.

A ten person office is usually one day’s work for us, which is £665 plus VAT. On top of that is the cost of transferring the data itself, which depends on how much email there is. Bigger businesses take more days. The Microsoft 365 licences are separate, billed per person each month.

We do this for businesses in Cardiff and across South Wales, and we can move email from any provider.

Why is there no single fixed price?

Two ten person offices can hold very different amounts of email. One keeps a couple of years of it. The other has every message since the business started, attachments and all. The second takes longer to move and costs more to transfer, so we look before we quote.

What does the survey check?

It is short. We check that we can get into every old mailbox, and how much is in them in total. We also look for very large files, because they need extra work behind the scenes to get them across, and it is better to know about that before the quote than after.

From that we know how many days it will take and what the transfer will cost.

Which email providers can you move from?

Any of them. Web mail that came with your website or domain, Google Workspace, an old Exchange server in the office, or another hosting company. Mailboxes, calendars and contacts all come across.

How do you know none of your email went missing?

We check what is in each mailbox before it moves, and check it again in the new one. You get a report at each checkpoint along the way, so you can see the numbers yourself rather than taking our word for it.

Our most recent move was 100 mailboxes off a web mail host, checked the same way.

Who can see your email while it moves?

Moving a mailbox means handling everything in it: client correspondence, invoices, HR emails. Before we start we sign a data processing agreement with you, which puts in writing what we can do with that data and what we can’t.

Under UK GDPR there must be a written contract whenever somebody processes personal data on your behalf. If a provider offers to move your email without one, ask why.

What should be set up at the same time?

A move is the cheapest moment to fix the things that are awkward to change later. We set these up as part of the same job.

  • The new Microsoft 365 account in your company’s name, with an administrator login that belongs to you. Here is how to check an account you already have.
  • Multi factor authentication on every account from the first day, before anybody gets used to working without it.
  • SPF, DKIM and DMARC for your domain, so nobody can send email pretending to be you. Put your domain into our free DMARC checker to see where you stand now, and this post explains what the results mean.

How do you get started?

Questions

The questions people ask us about this

How long does it take to move email to Microsoft 365?

A ten person office is usually one day. A bigger business, or one with years of stored email, takes longer. The survey at the start tells us how long before we quote.

Will our email addresses change?

No, if they are on your own domain. Your addresses belong to your domain, not to your email provider, so they stay exactly as they are and only the place your email is delivered to changes. An address on a provider’s own domain, such as @btinternet.com, cannot come with you, and the move is a good time to get your own.

Do you sign a data processing agreement?

Yes, before we start. Moving your email means handling your business’s data on your behalf, and UK GDPR requires a written contract whenever somebody does that.

Do you move email for businesses outside Cardiff?

Yes. We are based in Cardiff and work across South Wales and the South West.

IT support

Does your IT provider own your Microsoft 365 tenant?

It should be yours, in your company’s name, with at least one global administrator account that belongs to you rather than to them. You can check in about ten minutes. If the answer turns out to be no, that is fixable, and it is much easier to fix while you are still on good terms.

Cyber security

Can somebody send email pretending to be your business?

Probably, yes. Unless your domain has a DMARC record set to quarantine or reject, nothing tells other email systems to stop a forged message from your address. It takes a minute to check and an afternoon to start fixing, and the fix costs nothing but care.
